Data integration

Across the industry, EDI file exchanges continue to be the most common and accessible method for data connectivity. They accommodate smaller organizations with less compatible systems and lower data exchange requirements.

API solutions are emerging and provide more advanced connectivity. However, they require meaningful coordination and development work between both organizations’ IT teams. Therefore, API availability depends on existing integrations or a mutual commitment to build one.

Electronic Data Interchange (EDI)

EDI often called a file feed, is a way for systems to share information electronically. It typically connects a company’s Human Resources Information System (HRIS) or Benefits Administration system with an insurance carrier or other vendor. EDI files are sent on a scheduled basis—generally weekly—and include employee or benefits updates that have occurred since the previous file was sent. The data flows in one direction at a time, rather than being exchanged instantly between the two systems. Although EDI is not a real-time connection, it helps organizations work more efficiently and accurately by automating data transfers and reducing the need for manual data entry.

EDI files require a 50-employee minimum.

Application Programming Interface (API)

API is a technology that allows a company’s HRIS or Benefits Administration system to connect directly with a carrier’s system and share information in real time. 

Unlike traditional file feeds that are sent on a schedule, an API updates information instantly. For example, when an employee makes a benefits change in one system, that update is immediately reflected in the other system. 

The biggest advantage of an API connection is that it keeps data current and accurate. Because information is shared automatically and in real time, there is no waiting for the next file transfer and no need for manual data entry between systems. This gives employers, employees, and carriers greater confidence that they are all viewing the same up-to-date information. 

As a result, API is often considered the most advanced and reliable method of system integration.
